Northland District Health Board Selects Capturx™ Software for Digital Pens to Automate Medication Chart Audits

Pharmacists Can Now Complete More Accurate and Timely Audits

The time consuming process of documenting items such as in-patient medication, allergies/adverse drug reactions, and standing order medication has been dramatically reduced from 10 hours per audit to minutes, enabling pharmacists to spend more time on the floor completing clinical tasks instead of being expensive data entry clerks. 

The Northland DHB provides health and disability services for the Te Tai Tokerau communities of New Zealand's Northern Region. To ensure quality control and find areas for continual improvement, DHB audits its medication charts to meet standards including recorded allergies, legible handwriting, presence of signatures and dates, and clear and accurate prescribing of specified durations of antibiotic therapy. Collecting and reviewing this paper-based data is important but also created an administrative burden for the NDHB.

"Collecting data for audit medication charts has been an incredibly time-consuming activity that was fraught with data integrity issues," explained Jillian Sutherland, pharmacy professional advisor at Northland DHB. Using Capturx, medication chart audit forms are created within Excel and printed on normal paper using a standard office printer. As the forms print, Capturx creates a unique digital watermark which can be read by the digital pen. When the pharmacist writes on the form using the digital pen, it creates a normal ink record of the data collected and makes a digital copy which it stores on the pen's memory. Once all the data is collected, the pen is docked on a PC or laptop and the medication charts automatically appear in Excel. After a quick check for data integrity, the job is complete and data such as inpatient medication, allergies/adverse drug reactions, and standing order medication are immediately available to the rest of DHB's administration and staff. Teams have access to the original handwriting, signatures, converted data tables, as well as, validation of the date and time that data was actually written on paper.
