City of Torrance, Calif. Wins AIIM Best Practice Award for Document Imaging Excellence

City Attorney's Office Transforms to Digital Powerhouse With Document Imaging Software and Document Management System

NASHUA, NH--(Marketwire - March 10, 2008) - eCopy™, Inc., a provider of document imaging solutions that integrate paper documents into business software applications, today announced the City Attorney's office in Torrance, Calif. has won an AIIM Best Practices award in the "small company category" for their use of eCopy document imaging software. AIIM presented eCopy and the City of Torrance with the award at the annual AIIM awards celebration in conjunction with the AIIM Conference and Exposition in Boston, Mass.

AIIM, the international authority on Enterprise Content Management (ECM), established the Carl E. Nelson Best Practices Award to recognize excellence in the ECM field. The term "Best Practice" denotes a standard of excellence that has been achieved within an organization and refers to a process that can be quantified, adapted, and repeated.

Before adding an electronic document management system, the City believed it was an easy "mark" by plaintiff attorneys since the City was often incapable of using in-house attorneys to defend itself against even patently frivolous lawsuits due to document handling inefficiencies. To resolve this issue, the City Attorney's Office decided to go digital. It combined eCopy document scanning software with the City's Interwoven document management and RainMaker Summit case management systems.

"We are very excited to receive this prestigious award from AIIM," said Linda Santos, law office manager, City of Torrance. "The ultimate benefit of the solution has been the ability for all attorneys and support staff in the Torrance office to retrieve files, share data and collaborate on cases with confidence. eCopy has become such an integral part of our daily operations that we can barely remember working without it."

By utilizing eCopy document scanning at a multifunction peripheral (MFP) or document scanner, paper records are electronically captured, annotated as necessary, converted to text searchable Adobe PDF files, and electronically filed in Interwoven, emailed or faxed using Captaris RightFax fax server software.

The benefits of electronic document management to the City Attorney's Office have been staggering:

-- Nearly 300 cubic feet of file cabinets eliminated, easing City Hall
    space constraints.
-- Over 95 percent of legal work performed in house, saving outsourcing
-- Administrative staff savings estimated to be $240,000 annually.

"We congratulate the City of Torrance for their best practices excellence," said Bill Brikiatis, director, Corporate Marketing at eCopy. "The City of Torrance has transformed workflows by enabling the people closest to work processes to add paper-based information directly into their electronic business systems. As a result, the citizens of the City have benefited greatly."
