PeopleDoc Offers Tips to Avoid HR Operational Liabilities

NEW YORK, NY--(Marketwired - September 03, 2014) - Is your organization handcuffed by human resource (HR) data? Many organizations struggle to govern HR data as it often resides in multiple HR systems, in email and in hard copy form. However, the risks and exposures of not managing it effectively can be significant.

According to Jonathan Benhamou, CEO of PeopleDoc, the global leader in digital HR document management and employee relationship management solutions, "There is perhaps nothing more daunting -- or inconvenient -- than receiving a notice of an HR audit or request for legal discovery, especially when HR information is uncontrolled and/or processes are ungoverned.

"To make matters worse, many large companies with record information management systems have a false sense of security. Their legacy systems often lack the depth and breadth necessary to keep pace with the changing landscape of human resources, government regulations and audit compliance. With today's cloud and software-as-a-service models, there are better ways to get a handle on HR data and reduce a company's exposure."

The growing trend to "consumerize" employee information makes data accessible, secured and used appropriately by HR and other authorized users. Following are tips to unlock the handcuffs on HR data, freeing HR execs to focus on their core mission of managing and maximizing their company's greatest asset: their people.

  • Consolidate data: What information is needed to run the HR side of the business today and what is needed in the future? Review what is actually broken and determine if it is causing "ROI-justifiable" problems. Consider your roadmap for future functionality and ensure your information architecture is agile enough to absorb those changes.
  • Digitize HR information -- with the right partner: Scanning partners should be well-versed in HR privacy and compliance. They should be certified in industry-specific regulations and have the experience to handle sensitive information properly. Evaluate their process post-digitization -- are they archiving paper records for a period of time or are they destroying them immediately after scanning? Is information well indexed and time stamped? Is information cataloged using multiple keyword and security variables? Make sure you know the specific details on how your scanning partner will capture your records, so you can have them at the ready as you need them.
  • Remember information is power -- but only if you have control of it. In today's merger and acquisition world, distributed, disparate HR infrastructures are a fact of business. Converting to a single solution may sound attractive, but often is too difficult, expensive and too long-term. Consider a more practical approach that allows you to access and aggregate necessary information without changing the functionality of each existing (or future system). Make sure it allows you to deliver that data via an interface that is friendly to HR staff, employees and other stakeholders in a secure and compliant way.
