Project Management Software Project Insight Supports Seoul USA

IRVINE, CA--(Marketwire - Dec 6, 2011) - Project management software, Project Insight, provides Seoul USA with the ability to communicate and collaborate effectively on projects. Seoul USA is a non-profit based in the United States and a non-governmental organization (NGO) in Korea. The team at Seoul USA manages a ministry that works with American churches to provide religious education to the persecuted churches in China and North Korea. Before Project Insight, there was very little structure to the project management process at Seoul USA. The team needed a project management tool that would provide project and task level access to employees and third party contractors that worked remotely. They were managing approximately 10 to 15 projects simultaneously. Any due dates, changes or delays that applied to a project were kept track of on a spreadsheet. This manual process was overwhelming and required too much time to maintain.

The COO explained, "When we first started, we had to keep track of 10 to 15 projects. If there was a change or late task, it was managed through a spreadsheet list. It was crazy. It took a lot of time and it was difficult to communicate change to others. It was a manual process to update every single due date." Seoul USA's main issue was the organization was too small to have an information technology infrastructure; they did not even have Microsoft Exchange for an email system. Plus, as the project team included outside contractors, there was no good way to collaborate on tasks or projects.

Seoul USA works with team members who do not have any formal project management experience. Prior to Project Insight, the team was only collaborating on documents. Therefore, the team had to learn more about project management in general, as well as learn how to update tasks and projects within the software. The team faced a learning curve in regards to cultural adjustment. The team at Seoul USA needed a project management solution that would:

  • Provide a way for the team to work on tasks remotely
  • Have the ability to communicate about task status automatically

Currently, 80% of the project staff can pull reports on overdue tasks and issues. The communications infrastructure is part of their company culture. Instead of sending an email, staff will send an issue in Project Insight or talk to project coordinator to make a task. The COO emphatically says, "When you need to get things done, put it in the [Project Insight] system."

A sample project that has gone through Project Insight was publishing and developing a 400-page book. Projects and tasks that included printing, cover design, writing, different versions of each chapter, proof reading and designing were all managed with the help of Project Insight.
